A bank reconciliation statement (BRS) is a document that explains the difference between the bank balance shown in your accounting books and the balance shown on the bank statement. This guide covers the complete BRS format, preparation method, and examples for Indian businesses.
What is a Bank Reconciliation Statement?
Bank reconciliation is the process of matching your cash book balance (accounting records) with the bank statement balance. Differences arise due to:
- Checks issued but not yet cleared
- Checks deposited but not yet credited
- Bank charges and interest
- Direct deposits and withdrawals
- Errors in books or bank records
- Standing instructions (EMI, insurance premiums)
Bank Reconciliation Statement Format
Format 1: Starting From Bank Statement Balance
Format 2: Starting From Cash Book Balance
Step-by-Step Preparation Method
Step 1: Get the Bank Statement
Download or collect the bank statement for the reconciliation period (usually monthly). Most Indian banks provide statements in PDF, Excel, or CSV format via net banking.
Step 2: Get the Cash Book / Ledger
Export the bank ledger from your accounting software (Tally, Busy, Zoho Books). This shows all bank transactions recorded in your books.
Step 3: Match Transactions
Compare each entry in the cash book with the bank statement. Mark matched items. Unmatched items fall into categories:
| Category | Description | Adjustment |
|---|---|---|
| Checks issued, not cleared | Payment recorded in books, not in bank | Add to bank balance |
| Checks deposited, not cleared | Receipt recorded in books, not in bank | Less from bank balance |
| Bank charges | Debited by bank, not in books | Less from book balance |
| Interest credited | Added by bank, not in books | Add to book balance |
| Direct deposits | Received directly in bank (e.g., NEFT) | Add to book balance |
| Direct withdrawals | EMI, insurance, standing instructions | Less from book balance |
Step 4: Prepare the Statement
Using either format above, add/subtract the adjustments to arrive at the matching balance. If both sides don't match, there's an error โ recheck your entries.
Step 5: Pass Adjusting Entries
For every item found during reconciliation that isn't in your books, pass a journal entry:
- Bank charges: Dr Bank Charges, Cr Bank
- Interest credited: Dr Bank, Cr Interest Income
- Direct deposit: Dr Bank, Cr Party/Revenue
- EMI/Insurance debit: Dr Loan/Expense, Cr Bank
